RECORD MAINTENANCE
Northern Virginia Management, Inc. believes that successful property management depends on maintaining complete and accurate files. Northern Virginia Management, Inc.’s records retention policy is based on legal guidelines and government regulations in the Commonwealth of Virginia. Northern Virginia Management, Inc. will combine its records retention program with the Association’s requirements and needs to include:
- the identification and safeguarding of vital records with copies maintainedin Northern Virginia Management, Inc.’s office, the daily updating of all computerized reports, records, financial statements, correspondence, memoranda, etc. Northern Virginia Management, Inc. will create a monthly hard copy of these records, and a back-up copy will be stored on computer disks off-site.
- the daily filing of all other records such as correspondence, bylaws, deposit slips, bank reconciliation’s, invoices, payroll records, and insurance claims.
